1. Receive the request
Validate the required fields and preserve a unique reference before acknowledging receipt. Keep the visitor's text available if delivery fails.
2. Route with a clear owner
Create or link the appropriate CRM record using trusted rules. If no representative matches, use an agreed fallback rather than leaving the request without an owner.
3. Notify after the record exists
Send only the messages authorized for the process. A notification failure should not cause the original enquiry to be created again.
4. Recover a failed step
Track attempts and distinguish a confirmed failure from an unknown outcome. Reconcile before retrying an action that may already have happened.
