Many recurring reports begin as exports from several systems and a spreadsheet that only one person understands. Before automating it, we ask which business decision the report supports, which figures people disagree about and which adjustments are applied by hand. That reveals whether the main problem is data collection, inconsistent definitions or a missing review process. A dashboard cannot create trust in a number that no one has defined.

Define every measure and its source.

A useful reporting model names each measure, source system, time zone, period and update schedule. We decide how records are joined and what happens when an identifier is missing. The output shows when a source is delayed rather than presenting stale data as current. Access also matters: a summary for management may need different detail from an operational exception list. These choices form the acceptance criteria before visual charts are designed.

Make a disagreement inspectable.

Imports can fail, fields can change and the same transaction can appear twice. We retain enough processing context to locate the source period and the affected records, then provide a route to correct or rerun the right step. A person should be able to explain why a number changed between reports. Automated collection is useful only if it reduces assembly work without hiding uncertainty or turning errors into polished-looking totals.

Approve the rules that affect the answer.

Currency conversion, returns, cancellations, attribution and incomplete periods can materially change a report. The business approves those rules and identifies who may revise them. We scope provider access, historical data repair, refresh frequency and continuing support separately. If the data cannot support a desired conclusion, the report should say so. This page describes a method, not a claim that a particular customer achieved a measured saving or growth result.

Questions before we start.

Can you automate our existing spreadsheet exactly?

We can review it, but first need to understand the decisions and manual corrections it contains. Reproducing an unexplained formula may preserve an error. The agreed model should document definitions before the automated output becomes authoritative.

How do users know when data is incomplete?

The report should display source freshness and processing status, and separate provisional periods from completed ones. We agree thresholds and the person responsible for investigating gaps.
